AI Disclaimer & Acceptable Use Policy

The Foundation Fleet Services platform includes features powered by artificial-intelligence ("AI") models, including third-party large language models, vision models, and natural-language search ("AI Features"). This AI Disclaimer & Acceptable Use Policy ("Policy") explains the limitations of AI Features and the conduct expected of users.
1. AI Outputs Are Assistive, Not Authoritative
AI Features produce suggestions, summaries, classifications, decodings (including VIN decodes), part identifications, draft documents, and natural-language search results. AI outputs may be incomplete, outdated, or wrong. You must independently verify AI outputs before relying on them โ particularly for any decision involving (a) vehicle safety, (b) regulated maintenance or compliance, (c) parts ordering or warranty claims, (d) financial commitments, or (e) employee actions.
2. No Safety-Critical Reliance
Do not use the AI Features as the sole basis for declaring a vehicle safe to drive, releasing a vehicle from service, or skipping a regulated inspection. DVIR workflows require a qualified mechanic's resolution and a driver's verification; AI-generated suggestions never substitute for that human review.
3. Your Inputs
You retain ownership of Customer Data you submit to AI Features. Foundation processes those inputs under contractual data-protection terms with our model providers and does not authorize providers to train public models on Customer Data without your authorization.
4. Hallucinations & Bias
Like all generative-AI systems, our models can occasionally produce plausible-but-false outputs ("hallucinations") or reflect biases present in training data. We employ guardrails, retrieval-augmented design patterns, and citation surfacing where feasible, but no system eliminates these risks entirely.
5. Acceptable Use
You will not use AI Features (or any other part of the Service) to:
- generate or distribute unlawful, harassing, defamatory, or discriminatory content;
- create deceptive, deepfaked, or fraudulent documents, identities, or communications;
- attempt to extract model weights, system prompts, or training data;
- circumvent rate limits, billing guardrails, or safety controls;
- attempt prompt-injection attacks or otherwise manipulate the AI to bypass these rules;
- input personal data of others without lawful basis;
- automate decisions producing legal or similarly significant effects on individuals without human review.
6. Rate Limits, Usage Caps & Cost Controls
AI usage is metered and may be subject to per-tenant daily limits, burst limits, and cost caps. Foundation may temporarily throttle or pause AI Features without notice to preserve platform stability or to enforce these limits.
7. Third-Party Model Providers
AI Features may be powered by third-party providers (for example, OpenAI, Anthropic, Google). Provider terms apply to the underlying model service in addition to this Policy. We may change providers from time to time.
8. Feedback Loop
Some AI outputs include feedback prompts (๐/๐). Submitting feedback helps us tune prompts and guardrails. Feedback is treated as Customer Data unless it contains explicit user-volunteered suggestions, which are governed by the Feedback section of the Terms of Service.
9. Enforcement
Violations of this Policy may result in throttling, feature suspension, account suspension, or termination โ with or without notice depending on severity and ongoing risk.
10. Changes
We may update this Policy. Material changes will be announced via in-product notice and may require renewed acceptance.
